JG Hale Ltd processes personal data to manage site inductions, control site access and maintain an accurate record of who is on site for Health & Safety purposes. This includes contact details, emergency contact details and, where you provide it, health information relevant to safe working. Health information is treated as special category data.

How we use your data

We use your data to verify you are inducted and approved for a site, to record attendance, to account for everyone during an emergency, and to meet our legal Health & Safety duties. Health information is only accessible to authorised Site Management where operationally necessary, and every such access is recorded.

Location at sign-in and sign-out

Where a site has this enabled, we record the location of your device at the single moment you sign in or sign out, together with how accurate that reading was. This is used to confirm that attendance was recorded at the site, which matters for accounting for everyone during an emergency and for the accuracy of our Health & Safety records. We do not track your location at any other time, and we do not monitor your movements while you are on or off site. If your device does not provide a location, you can still sign in and out as normal. Attendance recorded away from the site is flagged for the Site Manager to review.

Retention and your rights

Records are retained in line with our retention policy and legal obligations, then anonymised or deleted. You may request a copy of your personal data or ask us to correct it. Contact the Site Office or Hale Group for any data protection request.
